Exercise – Customizing Time Matters

Adding a Staff Person and a new Matter

We will do these steps together:

1.        Use the Windows Start menu to Open the Time Matters to the Training Mode. (Start, Programs, Time Matters, Training Mode).

2.        Enter TM as the login and password.

3.        Update the sample data, if prompted.

4.        Close the Alerts, Reminders and Watches window.

5.        Add yourself as a new Staff person.

-         Select Database, Staff

-         Click the Add button and type your name and initials only.  Leave the rest of the form blank.

-         Click OK.

-         Close the staff list.

 

6.        Activate Color-Coding for the Matters list.

-         Select File, Program Setup

-         Click the Lists tab.

-         Set the List Type to Matters

-         Click the Set List Options button.

-         Set the Record Color option to Classification Code Entry.

-         Click OK. Click OK again to close Program Setup.

 

7.        Color-code Estate Planning matters.

-         Select File, Features Setup, Classification Codes

-         Click on the Matter tab.

-         Open EST and click the Color button

-         Set the color to one of the blue shades.

-         Click OK to close the color palette, then click OK again to close the form. 

-         Close the Classification Codes List.

 

8.        Open the Matters list.

8.1.                  Did the color-coding work?

8.2.                  Add a new estate planning matter called “Williams Estate Plan.”

-         Enter the matter name in the first box, and select the appropriate code in the code box.

-         Stop here for discussion of the Matter form.

8.3.                  Changing the Time Matters property file.

-         Save and close the Williams Estate Plan matter

-         Select File, Program Setup

-         Set the Property File to Estate Planning.

8.4.                  Add a new Contact Classification code

-         Select File, Features Setup, Classifications Codes

-         Click on the Contact Tab.

-         Add a new code CH with the description “Child”

8.5.                  Open the Williams Estate Plan matter.  Click the Related tab.  Click the Properties button and check the first 2 boxes at the top, and check all 3 of the bottom boxes. 

Do the next steps on your own.

9.        Open the Williams Estate Plan matter and complete the information working from the new client form.  Follow these rules carefully!

-         Use yourself as the Staff person for the matter and all contacts associated with the matter.

-         Do not type names on the Matter form, use the lookup button (button with up arrow) ­ to pull names in from the Contact list.

-         If the name does not appear on the Contact list, click the Add button on the Contact lookup window and add the new contact.

-         For any contacts you add, use Williams Estate Plan as the matter.  Do not type the matter name in.  Use the lookup button ­ to pull it in from the Matter list.

-         Enter only the data provided on the new matter form.  Leave all other fields blank.

-         On the contact form, leave the Firm and Title boxes blank in area 2. 

 

10.  Save (but do not close) the Williams Estate Plan matter.

11.  Look at the related tab.  Do you see all 4 people related to this matter?

12.  Print a Matter report for this matter, showing all related records.

-         Click the Print button on the Matter form

-         Select Form Format

-         Click the Additional tab and check Include Related Records

-         Click the Options button next to Include Related Records and set Relate by to Matter.

-         While still in the Related Records Properties window, click the Format tab and select Form.

-         Click OK, then Preview to view the report.  If the report looks complete, print it and turn it in.

-         If the report does not look complete, review the rules above and make any changes needed to the Matter or Contacts.  HINT:  Use the Related tab on the matter form to see related Contacts.

 

13.  Backup your data to disk.

-         Select File, Backup/Restore, Backup Time Matters data.

-         Set the destination to A:\TMTHU.ZIP and click OK.

 

14.  Turn the report in before leaving.

15.  Pick up the lab assignment.  You will need your backup disk for the assignment.
